Job Description:

Responsible for overall coordination of activity programs for multiple assisted living/long-term care/nursing home facilities. Develops diversified levels of interaction to meet the therapeutic, physical, and social needs of all residents. Develops and implements plans, policies, and procedures regarding staffing and purchasing.. Job Description – Activity Director. Reports To: Executive Director. Position: Plans, organized, develops and directs the overall operations of the Activities Department. Ensures compliance with Capital Senior Living (CSL) standards and applicable Federal and State regulations. Directs the planning and delivery of recreational, diversional, spiritual and therapeutic (non licensed) activities. Responsible for all aspects of financial and human resources management of the department. Available to work a flexible schedule that may include weekends and evenings.. Position Qualifications:. Bachelor of Science Degree in Therapeutic Recreation or a related field or certification as an Activity Professional preferred, not required.. Two years activities management experience preferred not required.. Ability to communicate effectively in writing, as well as verbally, required.. Ability to plan, organize, develop, implement, and interpret the programs, goals, objectives, policies and procedures of the Activities Department.. Willing to work beyond normal working hours, on weekends, and in other positions temporarily, when necessary.. Working knowledge of basic computer applications required. Driver’s license required.. CDL must be obtained within 60 days of employment.People Management:. Assists in the recruitment, interviewing and selection of department staff, in cooperation with the Executive Director.. Plans and executes effective staffing and scheduling patterns within CSL guidelines.. Supports company recognition and rewards programs; initiates community-specific recognition and reward programs in accordance with operating objectives.. Promotes positive employee relations by facilitating an atmosphere of open communication and problem-solving; identifies and resolves issues of employee dissatisfaction or conflict in as appropriate and timely manner and in accordance CSL personnel policies.. Manages, develops and evaluates personnel through ongoing performance management and timely, constructive feedback (i.e. coaching, counseling, written and oral disciplinary action, performance appraisals, anecdotal notes, etc.). Ensures that all Activities Department staff follows established policies and procedures.. Terminates employees only with the approval and participation of the Executive Director. Documents and coordinates such actions with the Executive Director.Training and Development:. Develops, implements, and maintains as effective department orientation program with the support from the Executive Director.. Develops, implements, and conducts in-service training programs that relate tot the Activities Department according to company guidelines; schedules staff for department and community in-service training.. Attends all in-service education programs mandated by Capital Senior Living, Corporate, State and Federal guidelines. Communications:. Attends department head meetings and also conducts monthly staff meetings. Facilitates effective, well organized meetings (in accordance with policies); establishes objectives for each meeting and follow through on actions/decisions reached.. Practices effective communication skills with internal customers (i.e. presents ideas and information in a concise, well organized way both orally and in writing, uses active listening skills, provides effective and timely feedback, participates actively in meetings, takes action to maintain the confidentiality of communications when appropriate, etc.). Establishes methods of formal and informal communication. Is available and encourages face to face communication with staff at all levels.. Participates in the monthly Resident Township Meetings. Record minutes for meetings when requested and post minutes each month.Teamwork:. Ensures the coordination of the Activities Department with the services of other departments.. Attends and contributes to service for all residents.. Fosters teamwork among all staff (i.e. creates a shared awareness of property goals, objectives, and current events; creates opportunities for staff to become involved in projects; promotes interdisciplinary and interdepartmental cooperation, etc.)Customer Service and Quality Management:. Serves as a role model of CSL’s principles of customer service and ensure staff adherence to these principles.. Plans, schedules and implements activities, for a monthly calendar.. Assesses and updates residents recreation preferences; develops programming based on preferences determined by resident audits.. Identifies the special needs of residents and creates a plan to accommodate those needs (large print materials, environmental adaptation, behavioral considerations, etc.). Involves residents in planning recreation objectives and goals for all residents.. Ensures that programming is provided (group and individual) in accordance with established policies and procedures.. Monitors activities to ensure measures are in place and programming is planned and implemented properly.. Maintains the confidentiality of all residents’ information.. Ensures that residents are free from abuse (physical, verbal, and sexual), mistreatment and neglect. Reports of any such instance immediately to the Executive Director.. Integrates residents with the community through property activities as well outings (community service projects, trips, organizations, etc). Supports residents spiritual/emotional needs. Works with chaplain and/or community clergy to provide services on the property.. Recruit, orient, train and supervise volunteers.. Ensures completion of accident/incident reports within 24 hours of occurrence.. Ensures that all equipment and vehicles are adequately maintained and repaired, as necessary.. Ensures that transportation schedules are managed. Ensures that self or subordinate staff is appropriate to drive residents to approved scheduled destinations.. Oversees the maintenance of the community vehicles. Works with staff to ensure proper vehicle registration is maintained. Ensures that safety and maintenance logs are maintained for all vehicles.. Maintains all pertinent files.Leadership:. Promotes CSL’s missions, values and goals; exhibits high ethical standards of professional conduct; inspires the same commitment in others.. Makes appropriate and timely decisions following review of related facts and opinions. Uses good judgment to initiate action independently.. Encourages and develops new ideas; presents creative improvements or new programs and rewards similar actions in others while tolerating mistakes along the way.. Seeks support from other Department Heads and staff as deemed necessary by following the proper chain of command.. Adapts leadership style to the situation, the task and/or the person.. Can manage multiple tasks, projects, and priorities at once. Able to prioritize but remain flexible.. Implements and monitors activities to achieve project objectives. Spend at least 5 hours per day engaging residents in life enriching activities.. Makes prior arrangements for scheduled activities to be covered during absences for any reason.Community Relations:. Creates a strong positive image and establishes good relationships within the community, which may include press relations, promotional activities, scrapbooks, and displays at the property. Expands the community network and referral sources.. Collaborates with the ED and or Marketing Director on community activities.. Ensures effective working relationships between all departments and Activities Department.. Prepares and distributes monthly community newsletter, daily flyers, appropriate postings and reminders/notices.Financial Management:. Develops and monitors purchasing/inventory control procedures to assure that adequate supplies and equipment are maintained; orders, within budget, as necessary from approved vendors. Purchase orders must be used.. Assists the ED with preparing and planning the Activities Department budget for equipment, supplies and labor. Recommends capital purchases for long range development.. Executes the department’s budget and takes appropriate action to ensure the departments overall compliance with the budget. All duties and responsibilities listed are essential job functions.
